Quotinc Terms of Service
T Terms of service
Here is the deal,
written out properly.
No forty-page scroll of boilerplate. These are the working terms between your desk and ours: what you are buying, what stays yours, what we promise, and where the limits sit. If anything reads unclear, email us and a founder will answer.

01The agreement
These terms are a contract between Quotinc, a company registered in Dubai, United Arab Emirates, and the business that opens a Quotinc workspace. They cover the platform at live.quotinc.com and this website. Creating an account or using the platform means you accept them on behalf of your company.
If we sign a separate order form or data-processing agreement with you, and it says something different, the signed paper wins.
02The service
Quotinc is a quotation platform for destination management companies and incentive houses. Your subscription is set out in your order: the plan (Field, Atlas or Meridian), the seats, the modules and the price. We sell by talking to you first, so every customer has an order we can both point at.
We improve the product continuously. Features will evolve, and we will not take away something you are paying for without telling you and giving you a path.
03Your account
- Keep the details on the account accurate, and keep credentials to yourself. A seat belongs to one person; shared logins are not a seat.
- You are responsible for what happens under your workspace, and we are responsible for the machinery underneath it.
- If you suspect someone got into your account, tell us straight away and we will help you lock it down.
04Your data stays yours
Everything you put into your workspace belongs to you: quotations, supplier rates, clients, contacts, files, messages. You grant us only the licence we need to host and process that data in order to run the service for you.
Your rates never train a shared model, never benchmark you against another desk, and never get sold. Export is built in, in XLSX, PDF and PPTX, with no export fee. When you leave, we delete your workspace on request. The detail lives on our security page and the subprocessors page.
05What we expect from you
- Use the platform for lawful business. Do not store or send content that is illegal or that infringes someone else's rights.
- Do not probe, overload or reverse-engineer the service, and do not resell access to it.
- Buyer links carry a real quotation to a real client. Do not use them to spam or to impersonate anyone.
- Found a vulnerability? Report it to sales@quotinc.com. We will thank you for a good-faith report, not chase you for it.
06AI features
The in-editor assistant drafts and proposes; you approve. It reads only the quotation you are editing and your own catalog, and its suggestions go through the same audited path as a human edit. Like any assistant, it can be wrong, so review what it produces before it goes to a client. Responsibility for an issued quotation sits with the desk that issues it.
07Fees
- Prices are in US dollars and billed as your order says, monthly or yearly.
- If a price changes, we tell you at least 30 days before it applies, and it takes effect at your next renewal. No mid-term surprises.
- Taxes that apply to your purchase are yours; we state them where we must collect them.
- If an invoice stays unpaid, we will chase you like humans first. Suspension only comes after notice.
08Confidentiality
What you show us of your business stays between us, and what we show you of ours stays between us too. The usual carve-outs apply: things already public, things independently known, things the law compels either of us to disclose.
09Availability and support
We run the platform with care, and we are honest about the stage we are at: there is no formal uptime guarantee yet. Planned maintenance gets announced ahead of time. When something breaks, you reach the people who built it, and we fix it with the urgency of a small team whose reputation is on the line.
10Ending it
- You can cancel any time; the cancellation takes effect at the end of the period you have paid for.
- We can end the agreement if you materially break it and do not fix it within 14 days of us telling you.
- After the end you have 30 days to export. Then we delete your workspace on request, as promised.
11Where liability stops
Our total liability under these terms is capped at the fees you paid us in the 12 months before the claim. Neither of us is liable to the other for indirect or consequential loss, such as lost profit or lost business. Nothing in this section limits what the law does not allow to be limited, including liability for fraud or wilful misconduct.
12Law and disputes
These terms are governed by the laws of Dubai, United Arab Emirates. If we disagree, we first talk in good faith for 30 days, because that resolves nearly everything. What is left goes to the courts of Dubai.
13Changes to these terms
When we change something material, we email account owners at least 30 days before it takes effect, and the date at the top of this page moves. Continuing to use the platform after that date means the new terms apply.
Something here you would negotiate?
At this stage you get the founders on the call, not a legal department. Ask, and we will give you a straight answer in writing.
